User Guide

This document functions as an overall guide for use of SafeGrounds, the University-developed incident management system used to record University response to various reported behaviors, concerns, and potential policy violations involving students, employees, and third parties. This system was designed specifically for staff members working in direct support and response roles. Roles were created in the system to allow collaboration, as well as control over who has access to specific case information during the life of a case. Each user is assigned to a User Role, and has functions and abilities specifically designed for their role (see User Roles).

Statement of User Rights and Responsibilities

Each SafeGrounds user will be trained and approved (New User Access and Training) by an administrator in their organizational area. SafeGrounds users may utilize the system for the purpose of ensuring accurate, effective, and efficient incident and data management in their area of response. All SafeGrounds users are expected to utilize the system and its data only for the purpose of executing their roles as employees of the University of Virginia and shall not access or view data for personal use. SafeGrounds retains a record of user activity in the system.

NOTE: There are many screenshots throughout this User Guide, which illustrate the system functions and uses described. Cases that list individual names are all false and were created specifically for the purpose of demonstrating system functionality. Any screenshots which include real data obscure personally identifiable information.
