An individual who enters a Title IX/Prohibited Conduct (PC) case directly into SafeGrounds using the Add Initial Report form will automatically be listed as the Complainant Dean on Point for that case , and will be assigned corresponding Initial Outreach and Reporter Outreach actions to complete. If a report is submitted through the Just Report It system, the case and corresponding Initial Outreach/Reporter Outreach actions will automatically be assigned to the Dean on Call unless otherwise specified. Appendix G for more information).

When a new Prohibited Conduct report is created by and/or assigned to a Complainant Dean on Point, Initial Outreach and Reporter Outreach actions will automatically populate in that case's Case Actions page. These Actions will automatically be Assigned To the Dean on Call or Complainant Dean on Point, and the Status will show New to indicate that those Actions must be completed by the assigned dean/individual. Additionally, the Initial Assessment/University Resolution Notice (PC) action will automatically populate in the Actions page , and will be assigned to the Title IX Coordinator.

For Complainant Dean on Point: Once the Complainant Dean on Point selects the Initial Outreach action to edit, fill in each field with information about that action (see Editing Actions for more information). After entering all information/complete all fields, click the green Save button at the bottom of the pop-up form. You will be returned to the Actions page, and the Status all of the Initial Outreach action will show as Completed. Do the same for the Reporter Outreach email/action.

For Complainant Dean on Point: Per standard protocol, the Complainant Dean on Point will send a message to each (known) Complainant following Evaluation Panel Review, which notifies the Complainant of the EP decisions/actions and provides and introduction to the Title IX Coordinator. This action will not automatically populate in the case, so the Complainant Dean on Point must add the action after completing it (See Adding Actions for more information). This action should be documented using the label Post-EP Communication.

For Title IX Coordinator: After the Complainant Dean on Point has sent Initial Outreach and Post-EP Communication to the Complainant, the Title IX Coordinator (or designee) will contact the Complainant to provide information about resources, University Resolution, and preferences. Once you select the Initial Assessment/University Resolution Notice action to edit, fill in each field with information about that action (see Editing Actions for more information). After you enter all information/complete all fields, click the green Save button at the bottom of the pop-up form. You will be returned to the Actions page, and the Status all of the Initial Outreach action will show as Completed.

Recording Preferences

The University Title IX Coordinator or her designee is responsible for soliciting and documenting Complainants’ preferences with regard to University Resolution. Each time that a Complainant expresses a new preference, we want to document that current preference. Note: preferences default to Not Expressed
