Once your project has been approved and moved to Stage 1, Provisioning Users, your project team members will receive a notification to sign the Research Use Data Agreement (Research Use Data Agreement (RUDA)) . You can track the status of your project and make changes at the URL the provide. for example — https://services.rc.virginia.edu/project/00034

The owner of the account assumes all responsibility for complying with state, federal, and international data retention laws. Researchers may be required to keep data securely stored for years after a project has ended and should plan accordingly.

University of Virginia researchers are strongly encouraged to use the [University Records Management Application (URMA)](https://recordsmanagement.virginia.edu/urma/overview), a web-based tool that automatically tracks when data can be safely transferred or destroyed.

To gain access to the Ivy computing environment, you will need to complete the following steps:

1. Visit your project URL; if you see ACTION REQUIRED at the top of the page, sign the required documents.

2. Complete the High Security Awareness Training.

Go to https://in.virginia.edu/hsat-training.

Or, if you **do not** have access to Workday, please contact infosec-training@virginia.edu for access to alternate training materials.

3. Ensure your computer meets the requirements for the High Security VPN.

Exact instructions and links to required software can be found on the ITS website: https://in.virginia.edu/vpncheck.

Download and install Opswat: https://virginia.service-now.com/its?id=sg_catalog&sys_id=a2bf4d91db716f402192e665059619fa. Make sure it is running on your computer.

Make sure you have at least one antimalware software installed and enabled. Recommended software can be found here: https://virginia.service-now.com/its?id=kb_article&sys_id=857a5642db866f44a6ddc191159619a0.

4. Install a current personal digital certificate.

You can skip this step if you already have a current digital certificate.

5. Download and install the VPN Client HS 4.6 (or the latest) from the UVA Software Gateway: https://virginia.service-now.com/its?id=sg_catalog&sys_id=d66f4fd4db29274c2192e665059619d6&sysparm_category=06d7db5bdbfcab00cebc550a48961963
